Dental Patient Communication Software: Reminders and Booking

J By Jaydeb Barman Updated October 28, 2026 14 min read

Dental patient communication software handles the messages that keep your schedule full: appointment reminders and confirmations, recall for overdue hygiene patients, two-way texting, online booking, digital forms and review requests. The leading platforms are Weave, Solutionreach, RevenueWell, Lighthouse 360, NexHealth and Dental Intelligence, and many practice management systems now include basic versions of the same tools.

Most pages ranking for this topic are written by vendors that rank themselves first. This guide compares the main options side by side, explains where built-in PMS tools are enough, and covers the parts other guides skip: AI receptionists, how deep each integration goes, contract terms, and texting consent.

Codixology built this guide from reviewing vendors’ published features, pricing pages and documentation, plus the pages that already rank for dental patient communication software, not from any single vendor’s marketing.

What Dental Patient Communication Software Covers

Most platforms bundle the same core jobs. Knowing them helps you compare packages instead of brand names.

  • Two-way texting: staff and patients text back and forth from a shared inbox, with history stored per patient.
  • Dental appointment reminder software: automated texts, emails or calls before each visit, with one-tap confirmation.
  • Dental recall software: automatic outreach to patients due or overdue for hygiene, plus reactivation of patients who have not been seen.
  • Online dental scheduling software: a booking page or website widget where patients pick open times.
  • Digital forms: intake, medical history and consent forms completed on the patient’s phone before the visit.
  • Review requests: a text after the appointment asking satisfied patients to leave a review.
  • Payments: text-to-pay links and online bill pay.
  • Phones and AI receptionists: VoIP phone systems, missed-call texting and AI that answers calls when the front desk cannot.

The Best Dental Patient Communication Software

Weave

Weave combines a phone system with patient messaging. Its dental page lists customizable phone lines, softphones, phone analytics, missed-call texting, appointment reminders with text confirmation, website booking, digital forms, automatic review requests and payment reminders. It also offers AI that answers calls “day or night” with a human-like voice and can reply to texts.

Weave’s pricing page says plans start from $199 per month (October 2026, check the current price), with Pro, Elite and Ultimate tiers priced by quote. Bulk texting allowances run from 1,500 to 15,000 messages per month depending on tier.

Best for: Practices replacing their phone system and messaging tools at the same time.

Watch out for: The starting price does not say which tier it covers. Get a written quote for the plan you need.

Solutionreach

Solutionreach serves dental, eye care and medical practices. It offers automated reminders that let patients confirm, cancel or reschedule, recall messages for overdue patients, two-way texting, online scheduling, digital intake, reputation management and online payments by card, HSA or FSA. Its AI Receptionist is described as an AI-powered voicemail replacement for calls the team cannot take.

Packages are Patient Connect, Practice Efficiency, Practice Growth and Enterprise (for 6 or more locations), all priced by quote. Solutionreach says it offers yearly contracts and that onboarding can be completed in under a week, depending on your PMS.

Best for: Practices whose main goal is fewer no-shows and a fuller hygiene schedule.

Watch out for: Ask whether a monthly option exists before committing to a yearly term.

RevenueWell

RevenueWell is dental-focused. It offers automated calls, texts and emails for reminders, recall and reactivation, texting it describes as HIPAA-compliant with full thread history, 24/7 online scheduling, intake forms, review requests, a patient portal for bills and payment plans, and an AI Receptionist. It also sells marketing services such as SEO, paid ads, social and web design.

RevenueWell lists integrations with Dentrix, Eaglesoft, Open Dental, Denticon and WinOMS. It says monthly and annual contracts and free trials are available. Pricing is by quote.

Best for: Practices that want patient communication and outsourced marketing from one vendor.

Lighthouse 360

Lighthouse 360 is a Henry Schein One brand. Its features page lists automatic appointment reminders, AutoConfirm (confirmations that write directly to the PMS), Automated Continuing Care for patients due for cleanings, reminders for dormant patients, two-way texting through Lighthouse 360+, 24/7 online booking, digital patient forms and automated review collection. A phone add-on called PhoneSight was listed as coming soon.

When Henry Schein One announced the all-in-one Lighthouse 360 in September 2023, it said digital forms write back into Dentrix, Dentrix Ascend and other practice management systems. Pricing is by demo and quote.

Best for: Practices on Dentrix or Dentrix Ascend that want a communication tool from the same company.

NexHealth

NexHealth focuses on online booking that syncs directly with the practice’s records system. It also covers reminders, one-click recall booking, text messaging, forms, review requests, payments and insurance eligibility checks. Its integration layer, the Synchronizer, reads and writes data to the PMS, and NexHealth lists support for Dentrix, Open Dental, Eaglesoft and Curve Dental among dozens of systems.

Pricing is modular: you build a package from Scheduling, Forms, Communications, Payments, Verification and Insights, then get a quote. NexHealth offers month-to-month or yearly billing, no cancellation fees, a 90-day notice period for annual plans, and says it will buy out an existing vendor contract, with exclusions.

Best for: Practices that want patients booking real open times, not sending requests.

Dental Intelligence (Including Modento)

Dental Intelligence is known for practice analytics and also sells patient engagement tools. It acquired Modento, a patient communication company, in 2021, and the Modento website now redirects to Dental Intelligence. Some older comparison pages still list Modento as a separate product.

Features include two-way SMS, email and a patient mobile app with push notifications, appointment reminders, online scheduling, forms, review requests, payments, an AI Receptionist and a patient loyalty program. Listed integrations include Eaglesoft, Dentrix, Dentrix Ascend, Denticon, Fuse and Open Dental. Pricing is by quote.

Best for: Owners who want production analytics and patient messaging in one subscription.

Arini

Arini describes itself as an AI receptionist for dentists. It answers inbound calls around the clock, handles overflow and after-hours calls, runs outbound reactivation campaigns and sends appointment confirmations. It says it integrates with existing systems but does not name specific PMS integrations on its homepage, and pricing is by demo.

Best for: Practices that already have reminders covered but lose new-patient calls when the phones are busy.

Watch out for: Confirm which PMS it can book into and how it hands off calls it cannot handle.

Built-In PMS Tools: Open Dental, tab32 and Curve

Before you buy a separate platform, check what your PMS already includes. Open Dental includes eReminders free for offices on support, and charges about $25/month per location for eConfirmations, $75/month for Web Sched Recall, and $0.04 per outgoing US text (October 2026, check current prices). It also offers an eServices bundle at $165/month per location.

tab32 includes AutoRemind in year 1 with 500 messages per month, then charges $69/month. Curve Dental lists its Curve GRO patient engagement tools in its subscription feature table. Built-in tools usually sync best, since there is no third-party connection, but they may lack a shared phone system, AI answering or advanced marketing.

Best for: Smaller practices that need reminders, confirmations and recall without another vendor.

Dental Appointment Reminder Software and Recall: What Matters

Reminders are meant to cut no-shows, but the details decide how much work they save. Look for confirmations that update the schedule automatically, not just a reply your staff has to read. Lighthouse 360’s AutoConfirm and Open Dental’s eConfirmations are examples of confirmations written back to the PMS.

Recall keeps the hygiene schedule full. Good dental recall software sends reminders when patients become due, follows up if they do not book, and lets them book from the message. NexHealth and Open Dental’s Web Sched Recall both let patients book a recall slot directly. Track how many recall messages turn into kept appointments, not how many you send.

Online Dental Scheduling Software: Real-Time Booking vs Request Forms

Some dental booking software shows real open slots pulled from your schedule. Others collect a request that staff confirm later. Real-time booking is faster for patients, but it needs rules: which providers, which appointment types, how much time per visit and how far ahead.

Start with simple bookings such as new-patient exams and hygiene recalls. Keep complex treatment for phone scheduling until you trust the rules.

AI Receptionists and Dental Phone Answering

Dental receptionist software now includes AI that answers calls, books appointments and replies to texts. Weave, Solutionreach, RevenueWell and Dental Intelligence all list AI receptionist features, and Arini offers a dedicated product. They differ on whether the AI can book straight into your PMS, how it handles insurance questions, and when it hands calls to a person.

Treat an AI receptionist as overflow help, not a replacement for your front desk. Test it with your hardest calls: an emergency, a billing complaint and a new patient asking about insurance. Integration With Your Practice Management System

Integration is the most important feature, and the least explained. Ask each vendor three questions:

  1. Does it read and write? Read-only tools see your schedule. Read-and-write tools, like NexHealth’s Synchronizer, can book appointments and save confirmations back.
  2. How often does it sync? Real-time sync prevents double bookings. Delayed sync can send reminders for canceled visits.
  3. Do forms write into the chart? Lighthouse 360 says its forms write back into Dentrix and Dentrix Ascend. Others may produce a PDF your staff must upload.

Texting Consent, HIPAA and Opt-Outs

This is general information, not legal advice. In the US, HHS guidance says the HIPAA Privacy Rule allows providers to send unencrypted email for treatment-related communications when reasonable safeguards are in place, and patients can ask for other methods. Keep the content of reminder texts minimal and ask vendors for a business associate agreement (BAA).

Automated calls and texts also fall under the Telephone Consumer Protection Act (TCPA). FCC rules have treated some healthcare messages, such as appointment reminders, differently from marketing, with conditions that include an easy opt-out. Marketing texts generally need stronger consent. Ask each vendor how it records consent and processes STOP requests, and check with your own counsel. Outside the US, local privacy and marketing laws apply.

How to Choose Dental Patient Communication Software

  1. Check your PMS first. If it already includes reminders, confirmations and recall, you may only need a phone system or AI answering.
  2. Confirm deep integration with your PMS version. Ask about read-and-write access and sync speed.
  3. Decide whether you need phones. Weave pairs a phone system with messaging, and Lighthouse 360 lists a phone add-on. Others assume you keep your current phone system.
  4. List must-have features. Reminders, recall, booking, forms, reviews, payments and AI answering are often sold in separate tiers.
  5. Compare contract terms. Monthly vs yearly, notice periods and buyout offers matter as much as price. See our guide to annual vs monthly software billing.
  6. Ask about texting limits. Bulk text allowances vary by tier.
  7. Run a pilot on recall. Measure booked recalls over 60 to 90 days.

A Practical Example: A Two-Location Practice Cutting No-Shows

Consider a hypothetical two-location practice using Open Dental. Reminders go out from the PMS, but staff still call every patient to confirm, recall lists are worked by hand, and new-patient calls go to voicemail at lunch.

The practice could first turn on built-in eConfirmations and Web Sched Recall at both locations, which costs little and keeps everything in one system. If missed calls remain the main problem after 60 days, it could add a phone system with missed-call texting or an AI receptionist for overflow. Only if it also wants marketing and review campaigns would a broader platform like Weave, RevenueWell or Solutionreach be worth comparing on quotes.

Common Mistakes When Choosing Dental Patient Communication Software

  1. Paying twice for reminders. Many PMS subscriptions already include them.
  2. Trusting “integrates with” claims. Ask whether it reads, writes and syncs in real time with your PMS version.
  3. Signing a yearly contract without a pilot. Ask for a trial or monthly start.
  4. Letting online booking run without rules. Limit appointment types at first.
  5. Ignoring consent and opt-outs. Make sure STOP requests are processed automatically.
  6. Sending too many messages. Over-messaging trains patients to ignore you.
  7. Treating AI receptionists as full replacements. Plan human handoff for complex calls.
  8. Relying on vendor-written rankings. Most top pages on this topic rank their own product first. Our guide on how to spot fake software reviews explains what to look for.
